Marketing Privacy Notice
The information that you give us
For marketing and communications purposes we may collect personal information including your name, address, date of birth, email address, telephone number, current or previous school, year group, course or subject interests, event registrations and attendance, and your marketing preferences.
We will only collect personal information that is relevant and necessary for the purpose for which it is being used.
Where appropriate, we may also take photographs or video footage for use in Yeovil College and Yeovil College University Centre marketing and communications. This may include use on our websites, social media channels, digital and printed publications, advertising, press and publicity materials. Where consent is our lawful basis for using your image, we will explain how it may be used and how you can withdraw your consent.
How we use your personal information
We may use your personal information for the following purposes:
To stay in touch with you: Where permitted by law and in accordance with your marketing preferences, we may contact you by email, SMS, telephone, post or other electronic communication to tell you about courses, opportunities, events, College news and other information that may be relevant to you.
To manage event registration: If you register for a College event, either directly with us or through a third-party event registration provider such as TicketSource, we will use your information to administer your booking and provide you with relevant information about the event. This may include booking confirmations, reminders and practical information. We may also keep a record of event registration and attendance.
Registering for an event does not automatically mean that you have agreed to receive ongoing direct marketing from us. Where we wish to use your details for future marketing, we will do so only where we have an appropriate lawful basis and in accordance with applicable direct marketing rules. A clear end date will be listed, and data will not be used after 31st October of the year following application/enrolment, whichever comes later.
Experience days and taster days: to sift you into the most appropriate groups and taster sessions based on your preferences and course options.
Photography and video: Where appropriate, photographs and video may be used to promote and celebrate the work of the College and the achievements and experiences of our students.
The legal basis on which we collect and use your personal information
Depending on the circumstances and the purpose for which we are using your information, we may rely on consent, legitimate interests or another appropriate lawful basis under data protection law.
Where consent is required for direct marketing, we will ask for that consent and provide you with the opportunity to withdraw it at any time.
In certain circumstances, we may be able to contact people who have previously expressed an interest in our courses or services without obtaining separate marketing consent, where permitted by the electronic marketing rules. We will provide a clear opportunity to opt out when required and in subsequent marketing communications.
You can change your marketing preferences by asking us to stop sending you direct marketing at any time.
Your data protection rights
You have rights in relation to the personal information we hold about you. Depending on the circumstances, these may include the right to:
- access your personal information;
- ask us to correct inaccurate or incomplete information;
- ask us to erase your personal information;
- restrict how your personal information is used;
- object to the use of your personal information, including for direct marketing; and
- withdraw your consent at any time where we rely on consent to use your personal information.

How long we keep your personal information
We will only keep personal information for as long as it is required for the purpose for which it was collected and in accordance with the College’s approved data retention arrangements.
Marketing information, event registration information and photographs or video have different retention periods depending on their purpose. Information will be securely deleted or anonymised when it is no longer required.
Who we share your personal information with
Where necessary, we may share personal information with carefully selected organisations that provide services to the College or where sharing is necessary for a specific purpose.
These may include:
- TicketSource: to support registration for Yeovil College and Yeovil College University Centre events.
- Corporate Document Services (CDS): to manage, print and distribute College communications and marketing materials where appropriate.
- Royal Mail: to distribute postal communications and door-to-door materials.
- Ede & Ravenscroft: where information needs to be provided in connection with the ordering of graduation robes by Higher Education students or students completing relevant professional qualifications.
- Schools: where it is appropriate and lawful to share information relating to a learner’s application or potential educational next step.
- Careers South West: where appropriate, to support the monitoring of application activity and young people who may be Not in Education, Employment or Training (NEET).
- AndAnotherDay: to support the operation of the Yeovil College website.
We require organisations processing personal information on our behalf to handle it appropriately and in accordance with applicable data protection requirements.
International transfers
Where personal information is transferred outside the UK, we will ensure that appropriate safeguards are in place in accordance with applicable data protection law.

If you have any concerns about how Yeovil College uses your personal information, please contact the College’s Data Protection Officer at data.protection@yeovil.ac.uk.
You also have the right to raise a concern with the UK’s independent data protection regulator, the Information Commissioner’s Office (ICO).
